Kivo vs. Veeva Vault RIM: A Side-by-Side Comparison

Featured Image

Last updated: October 2026

How does Kivo compare to Veeva Vault RIM? Veeva Vault RIM (now marketed as Veeva RIM) is a four-application regulatory suite covering registrations, submission content, in-platform eCTD publishing, and submissions archiving, adopted widely by large biopharma. Kivo is a unified RIM, eTMF, QMS, and document management platform for clinical-stage biotech, with all modules in one system, that hands publishing off to a partner. The right choice depends mostly on whether you need in-house publishing and registration data management today.

This guide puts the two platforms side by side using each vendor's own published documentation, with a numbered source for every Veeva claim. It covers a comprehensive feature checklist, a consistent profile of each platform, the handful of differences that actually drive the decision, and a recommendation framework. If you're evaluating more than these two options, start with our broader guide to Veeva RIM alternatives for growing regulatory teams.

A note before we start: Kivo publishes this comparison, so read it with that in mind. It is not an independent ranking, and it doesn't assess implementation quality, market share, or fitness for any particular organization. Veeva's capabilities are described from Veeva's own public product pages, help documentation, and press releases as of October 2026, and both products change frequently. Validate every row against your own requirements and a live demo of each system before deciding.

1. How We Compared Kivo and Veeva RIM

We compared the two platforms on eleven capability areas that a regulatory team actually exercises day to day, using only what each vendor documents publicly. Where Veeva's documentation doesn't address a capability, we say "not documented in the sources reviewed" rather than assuming it's missing.

Evaluation criteria

  • Suite scope: which regulatory jobs the product covers, and which applications or modules deliver them.
  • Submission planning and content management: how submissions are structured, planned, and assembled.
  • eCTD publishing and gateway transmission: whether the system produces and sends the final submission itself.
  • Submissions archive and viewing: how submitted dossiers are stored and navigated.
  • Registrations and product data: tracking of approvals by market, change impact, and EU product data (xEVMPD/IDMP).
  • Health authority correspondence and commitments.
  • Authoring, collaboration, and templates.
  • Compliance and validation: Part 11 controls, release validation, and who carries which part of the validation burden.
  • Cross-functional architecture: how RIM connects to clinical and quality records.
  • Integrations, data access, and AI.
  • Packaging, pricing, and implementation.

A note on naming: Vault RIM vs. Veeva RIM

Most buyers still search for "Veeva Vault RIM," but Veeva's current product pages and press releases call the suite Veeva RIM, made up of Veeva Registrations, Veeva Submissions, Veeva Submissions Publishing, and Veeva Submissions Archive[1]. Those applications run on the Veeva Vault Platform[2]. We use "Veeva RIM" throughout the rest of this article; it refers to the same product family.

2. Kivo vs. Veeva RIM at a Glance

In short: Veeva RIM covers more of the regulatory lifecycle, including publishing and full registrations management, but its RIM, Quality, and Clinical applications run in separate Vaults that exchange data through configured connections. Kivo leaves publishing to a partner by design, and runs RIM, eTMF, QMS, and document management in one system with all-inclusive published pricing.

Dimension Veeva RIM Kivo
What it is Four regulatory applications (Registrations, Submissions, Submissions Publishing, Submissions Archive) on the Vault Platform[1] Unified compliance platform: document management core plus RIM, eTMF, and QMS modules[3]
Primary audience Biopharma of all sizes; Veeva reported 450+ companies, including 19 of the top 20 biopharmas, in September 2025[4]. Veeva Basics packages target emerging biotechs[5] Clinical-stage biotech sponsors, pre-IND through approval, and the CROs and consultancies that support them; 200+ sponsor, consultant, and CRO teams[6]
eCTD publishing Native, with validation against health authority criteria and FDA/EMA gateway transmission[7] Not included by design; submission-ready packages hand off to your publishing partner[3]
Registrations / product data Dedicated Registrations application with change impact analysis and xEVMPD/IDMP output[8] No registrations application and no IDMP support; multi-region submission planning and tracking within RIM[3]
HA correspondence and commitments Health Authority Question and Commitment records extracted from correspondence, with responses initiated from each question[9] Correspondence capture (email, files, call logs, scans) with smart associations and commitment tracking[10]
Clinical and quality connection RIM, Quality, and Clinical Operations run in separate Vaults; Veeva Connections transfer selected data between them once configured and activated[11][12] RIM, eTMF, and QMS share one document core, permission model, and audit trail[3]
Validation Each release IQ/OQ validated, with validation packages; on the full suite, customers validate impactful configurations and integrations through risk-based UAT/PQ[2][13]. Veeva Basics is pre-configured and pre-validated by Veeva, with system configuration set by Veeva rather than the customer[5][14] Continuous CSA-aligned validation; each release ships validation evidence for customers to review and approve, with Kivo's PQ/UAT run on its shared multi-tenant platform[15]
Pricing No public pricing found Published structure: users plus modules, with e-signature, validation, training, and support included[15]
Implementation Veeva Basics: "Live in Weeks, Not Months"[5]; we found no published timeline for the full suite Weeks[3]

3. Side-by-Side Feature Checklist

The checklist below breaks the comparison into individual, verifiable capabilities. "Yes" means the vendor documents the capability publicly; "Not documented" means we couldn't find it in the sources reviewed, not that it's confirmed absent. Ask each vendor to demonstrate any row that matters to you.

Suite scope and architecture

Veeva splits regulatory work across four purpose-built applications and runs Quality and Clinical in separate Vaults; Kivo delivers RIM as one module in the same system that runs eTMF and QMS.

Capability Veeva RIM Kivo
Cloud-based SaaS Yes, on the Vault Platform[2] Yes; fully browser-based, PC and Mac[3]
Shared data model across regulatory functions Yes, within RIM; the four RIM applications share a common data model and can run in one Vault[1] Yes; all modules share one document core[3]
Clinical (eTMF) and quality (QMS) in the same vendor's portfolio Yes, as separate Vaults[12][16] Yes, as modules in the same system[3]
How RIM, Quality, and Clinical share data Veeva Connections that "transfer data between two Vaults," configured and activated per connection[11][12]; Veeva's 2021 Quality–RIM FAQ "strongly recommends" Professional Services to implement[17] Same document, same record: one repository, permission model, and audit trail; no connection between modules to set up[3]
Cross-application data scope Defined per connection, e.g. Product Family, Clinical Study, and Clinical Site records plus regulatory data for RIM–Clinical Operations[16] Any document or record in any module, subject to permissions[3]
Safety, promotional review, and medical applications Yes; Safety–RIM, RIM–PromoMats, and RIM–Medical connections listed[18] Not offered
Supported application types Global health authority submissions and registrations[1] INDs, CTAs, NDAs, BLAs, ANDAs, CTIS, and more, built on the EDM Reference Model[3]

Submission planning and content management

Both platforms provide structured submission planning tied to the underlying documents; Veeva models it through content plans and regulatory objectives, while Kivo uses pre-built submission structures linked directly to its document management system.

Capability Veeva RIM Kivo
Submission content planning Yes; Content Plan records track submission-specific information for each document[19] Yes; pre-built submission structures aligned to agency guidelines, linked to source documents[20]

IDMP / xEVMPD Yes; produces xEVMPD and IDMP output for EU regulations[26] Not supported
Global and local label change tracking Yes[26] Through document control and project tracking

Health authority correspondence and commitments

Both platforms treat correspondence and commitments as structured records rather than loose files, which is the core of staying ahead of agency deadlines.

Capability Veeva RIM Kivo
Capture HA questions and commitments Yes; select text in a correspondence document to create Health Authority Question or Commitment records[9] Yes; captures and catalogs correspondence and commitments[10]
Correspondence types captured Correspondence documents[9] Email (with attachments), digital files, call logs, PDFs, scans[10]
Link correspondence to projects and submissions Yes; questions and commitments link to Submission, Application, Product Family, Regulatory Objective, and HA Meeting records[9] Yes; smart associations, and submission projects update as expected correspondence arrives[10]
Reporting by agency, project, or type Configurable reports and dashboards on the Vault Platform[2] Yes[10]

Authoring, collaboration, and templates

Both support real-time co-authoring in Microsoft Office and template-driven document creation; Kivo also sells a pre-built ICH document template package as an optional add-on.

Real-time co-authoring in Microsoft Office Yes; collaborative authoring for .docx, .xlsx, .pptx with an Office 365 tenant[27] Yes; native Microsoft Office desktop and 365 online integration[3]
Pre-formatted ICH document templates Binder, content plan, and configurable document templates[19][28]; a pre-built ICH authoring template library not documented in sources reviewed Optional add-on package covering FDA, Health Canada, EU M1 and IMPD, ICH M11 clinical, and non-clinical templates[29][15]
Configurable review and approval workflows Yes; configurable business logic on the Vault Platform[2] Yes; customizable authoring, review, QC, and approval workflows[3]
Third-party (external partner) access Yes; external users and cross-domain user access[2][30] Yes; external collaborators can be given limited access[3]

Compliance and validation

Both platforms provide Part 11 controls and vendor-supplied release validation; the difference is in how much validation evidence the vendor supplies versus how much the customer produces.

Capability Veeva RIM Kivo
Electronic signatures Yes; Vault e-signatures[2][31] Yes; native Part 11-compliant e-signature included with every subscription at no extra charge[15]
Audit trail Yes; audit trails designed in a strict change control environment[2] Yes; automatic, uneditable audit trail[3]

Bulk data export Vault Loader exports object records, document metadata, document types, users, and groups[33]; Direct Data API included at no additional license fee[34] Data migrates in and out freely ("no lock-in")[3]
Migration in with audit history Archive imports submissions while keeping eCTD XML structure and links[35] SFTP and migration tool preserving metadata and merged audit history[3]
Single sign-on Yes; SAML SSO[36] Yes[3]
AI capabilities Application Assistant Agent listed on the Submissions page[37]; Veeva Falcon agentic platform, with health authority correspondence as an initial regulatory focus, planned for early-adopter availability in November 2026[38] Headless GxP architecture lets external AI tools and workflows connect to Kivo as the compliant system of record[39]

Packaging, pricing, and implementation

Kivo publishes its pricing structure and bundles validation, training, and support; Veeva does not publish pricing but offers standardized Veeva Basics packages for emerging biotechs that Veeva pre-configures and validates, rather than configuring them to each customer.

Capability Veeva RIM Kivo
Published pricing No public pricing found on Veeva's product or Veeva Basics pages (October 2026) Yes; published tiers and package structure[15]
Emerging-biotech package Veeva Basics: standardized, pre-configured Submissions Basics, Submissions Archive Basics, and Submissions Publishing Basics (Registrations not listed on the Basics page as of October 2026); system configuration is set by Veeva, with customer choices limited to setup options such as usage scope, user access, and SOP templates; Veeva says customers can "graduate to full Vault, no migration required"[5][14]; Veeva reports more than 175 emerging biotechs on Veeva Basics as of October 2026[40] Same configurable platform at every size; Standard tier for emerging teams, priced per full user, with read-only licenses for training and e-signature; base package is document management + Training + one module (RIM, eTMF, or QMS)[15]
Included at no extra charge Veeva Basics: Veeva-validated releases, on-demand validation packages, and Veeva-managed updates three times a year, offered "without the implementation and maintenance costs"[5]. Direct Data API included with Vault Platform[34] E-signature, validation (upfront and ongoing), training, maintenance, and support; the ICH template package is an optional add-on[15]
Published implementation timeline Veeva Basics: "ready to use on day 1," with a guided 30–60 days to ready first business users[5]; we found no published timeline for the full suite Weeks, via a five-step setup process[3]

If you're building your own evaluation scorecard from these rows, our guide to the features that define a modern RIM system explains why each capability matters.

4. Veeva RIM Profile

Veeva RIM is the broadest end-to-end regulatory suite in this comparison, covering registrations, content, publishing, and archiving inside one vendor's platform.

Overview

Veeva RIM is a cloud regulatory information management suite of four applications on the Vault Platform: Veeva Registrations, which "plans, tracks, and reports on global health authority product registrations and associated changes"; Veeva Submissions, "a content management application used to plan, author, review, and approve regulatory submissions"; Veeva Submissions Publishing, which "produces compliant published submissions ready to send to global health authorities"; and Veeva Submissions Archive, which "provides storage, navigation, and search of submitted regulatory applications and related correspondence and questions"[1]. Veeva reported in September 2025 that more than 450 companies, including 19 of the top 20 biopharmas, had adopted Veeva RIM[4].

Capabilities

  • Content plans, a Submission Wizard, and an Active Dossier Viewer & Editor for structuring and tracking submissions[19].
  • End-to-end eCTD publishing with validation against health authority criteria, plus FDA and EMA gateway transmission from within Vault[7].
  • Continuous publishing, which Veeva says more than 85 organizations were using as of September 2025[4].
  • Submissions Archive with a viewer covering eCTD 3.2, eCTD 4.0, non-eCTD, EAEU, and Japanese formats[24].
  • Registrations with change impact analysis and xEVMPD/IDMP output for EU regulations[8][26].
  • Structured health authority questions, commitments, and responses captured directly from correspondence[9].
  • Veeva Connections that transfer defined data between the RIM Vault and separate Clinical Operations, Quality, Safety, PromoMats, and Medical Vaults[18][11].
  • REST API, Java SDK, and Direct Data API[2].

Strengths

  • End-to-end coverage in one suite. Planning, authoring, publishing, gateway transmission, and archiving happen without leaving the vendor's platform.
  • Registrations and EU product data. A dedicated application for tracking approvals and changes across markets, with xEVMPD and IDMP output.
  • Breadth of the application portfolio. Veeva offers separate applications for clinical, quality, safety, promotional, and medical functions, with standard connections to RIM.
  • Scale and adoption. Widely adopted across large biopharma, which matters for partners, CROs, and hires who already know the system.
  • Developer toolkit and AI roadmap. Documented APIs and SDK, plus announced regulatory AI agents.
  • An emerging-biotech entry point. Veeva Basics packages standardized, pre-configured, pre-validated Submissions, Archive, and Publishing applications for smaller companies[5].

Weaknesses

  • No published pricing. Cost can't be estimated without a sales process, which makes early budgeting harder.
  • On the full suite, configuration validation stays with the customer. Veeva validates each release through IQ/OQ, and customers validate impactful configurations and integrations through risk-based UAT and PQ[13], across general releases that arrive about every four months[32]. Veeva Basics shifts validation to Veeva, and its configuration is also set by Veeva rather than tailored to each customer[5][14].
  • RIM, Quality, and Clinical are separate Vaults. Data moves between them through Veeva Connections, which must be configured and activated for each pair of Vaults. Veeva's 2021 Quality–RIM Connection FAQ cites "significant effort in mapping data across environments" and "strongly recommends" a Professional Services engagement, though it notes a technically skilled administrator may implement it[17]. Connected Vaults must share the same domain[11], the same FAQ describes a one-Quality-Vault-to-one-RIM-Vault limit[17], and some transfer errors mean customers "need to work with Veeva Services to update your configuration"[12].
  • No published full-suite implementation timeline. We found a fast-start timeline for Veeva Basics only[5].
  • Veeva Basics is configured by Veeva, not by you. Veeva describes it as "standardized, pre-configured" and "GAMP 5 Category 3 compliant"; customer choices are limited to setup options such as usage scope, user access, and SOP templates. Veeva says customers can later "graduate to full Vault, no migration required." Registrations isn't listed in the Basics RIM package as of October 2026[5][14].

Ideal use cases

  • Sponsors that publish and transmit eCTD submissions in-house and want publishing inside the RIM suite.
  • Companies with marketed products in multiple regions that need registration tracking, variation impact analysis, and EU product data.
  • Organizations already running Veeva Clinical, Quality, or Safety Vaults, with the administration capacity to implement and maintain connections between them.
  • Teams with regulatory operations and system administration staff to configure and govern a multi-application suite.

5. Kivo Profile

Kivo is a unified compliance platform that puts RIM on the same document core as eTMF, QMS, and document management, built for clinical-stage biotech and the partners that support them.

Overview

Kivo combines document management, RIM, eTMF, and QMS on one shared, Part 11-compliant document core, so regulatory, clinical, and quality teams work in the same system rather than in separate tools[3]. It serves clinical-stage biotech sponsors from pre-IND through approval and the CROs and consultancies that support them. More than 200 sponsor, consultant, and CRO teams rely on Kivo, and it is rated 4.9/5 on G2[6]. Kivo is SOC 2 Type 2 and ISO 9001 certified[41].

Capabilities

  • Pre-built submission structures aligned to agency guidelines, a submission builder, and automatic tracking for publishing handoff[20].
  • Correspondence and commitment tracking across email, files, call logs, PDFs, and scans, with smart associations to projects and submissions[10].
  • eCTD viewer included with the RIM module, with sequence and cumulative views and live links to source documents[3].
  • An optional add-on package of pre-formatted ICH templates in native Microsoft Word[29][15].
  • Regulatory project plans with dependencies, auto-reflowing timelines, and Kanban and Gantt views[3].
  • Native Part 11-compliant e-signature and continuous CSA-aligned validation, both included[15].

Strengths

  • One system across functions. A protocol drafted by clinical is the same record quality trains on and regulatory submits, with one audit trail and no connection between modules to configure.
  • Correspondence tracking as a core workflow. Captured correspondence can update submission projects automatically.
  • Vendor-supplied validation evidence on a configurable system. Each release ships validation evidence aligned to FDA's Computer Software Assurance approach; Kivo's PQ/UAT runs on its shared multi-tenant platform rather than on each customer's configuration, so customers review and approve evidence rather than writing release test scripts[15].
  • Published, all-inclusive pricing. E-signature, validation, training, maintenance, and support are included[15].
  • Fast setup and no lock-in. Implementation in weeks, with data migration in and out of the system[3].

Weaknesses

  • No native eCTD publishing or gateway transmission. Teams need an internal publishing group or an external publishing vendor, which adds a relationship to manage.
  • No registrations management or IDMP support. Kivo doesn't offer global registration tracking, change impact analysis, or xEVMPD/IDMP output comparable to Veeva Registrations.
  • Narrower functional footprint. Kivo doesn't offer safety, promotional review, or medical applications.
  • Less configurability than enterprise suites. Highly bespoke global workflows at very large organizations may exceed what Kivo is designed for.

Ideal use cases

  • Clinical-stage biotechs moving from spreadsheets and shared drives to a validated RIM ahead of an IND, CTA, or first marketing application.
  • Lean teams that want regulatory, clinical, and quality documents in one system without integration work.
  • Sponsors that already outsource publishing, or prefer to choose their own publishing vendor.
  • CROs and consultancies managing multiple sponsor engagements.

6. Where the Two Platforms Differ Most

Most of the checklist rows above are capabilities both platforms offer. Five differences tend to decide the evaluation.

In-house publishing vs. partner publishing

Veeva publishes, validates, and transmits submissions inside its suite; Kivo prepares submission-ready packages and hands them to the publisher you choose. Which model fits depends on whether publishing is a capability you want to own.

Publishing is not optional work. FDA has required NDA, ANDA, and BLA submissions in eCTD format since May 5, 2017, and commercial IND submissions since May 5, 2018[42]. The format is also changing: FDA has accepted new applications in eCTD v4.0 since September 16, 2024[43], and ICH lists v4.0 as mandatory in the US from 2029 and in Japan from April 2026[44]. In the EU, EMA has accepted optional v4.0 submissions for new centralised marketing authorisation applications since December 22, 2025, with use strongly recommended from Q1 2027 and mandatory from Q1 2028[45].

A team that publishes in-house will feel that transition in its own tooling, which is where Veeva's integrated publishing and gateway connections matter. A clinical-stage team that already outsources publishing, or files a handful of sequences a year, may prefer Kivo's model: the publisher absorbs format changes, and the sponsor isn't paying for a publishing module it rarely uses.

Registration and product data depth

Veeva offers a dedicated Registrations application with change impact analysis and xEVMPD/IDMP output. Kivo offers neither registrations management nor IDMP support. This matters most once you have approved products in multiple markets.

For a pre-approval company, registrations data is usually a short list. For a company with marketed products across regions, tracking which approvals exist where, assessing the impact of a manufacturing change across them, and submitting EU product data is ongoing work, and Veeva's application is built for it[8].

How RIM connects to clinical and quality

Veeva's RIM, Quality, and Clinical Operations applications are separate Vaults that exchange data through connections; Kivo's RIM, eTMF, and QMS are modules in one system that share the same documents and records.

Veeva describes its standard connections as transferring "data between two Vaults within separate application suites"[11]. The RIM–Clinical Operations connection, for example, transfers Product Family, Clinical Study, and Clinical Site records plus regulatory data across Vaults[16], and the Quality–RIM connection coordinates product change control[18]. Each connection is configured and activated by administrators[12], and Veeva's 2021 Quality–RIM Connection FAQ "strongly recommends" engaging its Professional Services team, citing "significant effort in mapping data across environments"[17]. Documents transfer once the source document reaches its next steady state[12], and deletions in one Vault aren't carried over to the connected Vault[16].

In Kivo, the clinical study report, the SOP, and the submission document are records in the same repository, under one permission model and one audit trail, so there is no cross-system data mapping or transfer between modules[3]. Evaluate this by walking a real document from authoring through quality review into a submission in each demo.

Who carries the validation burden

Both vendors validate their releases. On Veeva's full suite, customers perform risk-based UAT/PQ on impactful configurations; Veeva Basics moves both validation and configuration to Veeva; Kivo supplies release evidence through PQ/UAT on its shared platform while letting customers configure the system, with any configuration-specific risk assessment staying with the customer.

Veeva validates every release through IQ/OQ and provides a validation package; on the full suite, customers then validate "the specific configurations and integrations" through risk-based UAT and PQ, though Veeva notes not all configurations warrant validation beyond its own[13]. Veeva Basics is "pre-configured and pre-validated," with every release validated by Veeva; its go-live guide says, "We do all the Validation for you: IQ, OQ, and PQ"[5][14]. Kivo ships OQ and PQ/UAT evidence with each release, aligned to FDA's Computer Software Assurance approach and executed on its shared multi-tenant platform, so customers review and approve that evidence rather than re-running release testing[15]. On both Kivo and Veeva's full suite, the customer still decides how much of its own configuration warrants additional testing. Ask each vendor what your QA team would actually do at the next release.

Pricing transparency and time to value

Kivo publishes its pricing structure and implements in weeks; we found no published Veeva pricing, and Veeva's fast-start timeline applies to Veeva Basics rather than the full suite.

Veeva Basics is a real option for emerging biotechs. Veeva reports more than 175 emerging biotechs on Veeva Basics as of October 2026, and positions it as "ready to use on day 1"[40][5]. Its RIM package covers Submissions, Submissions Archive, and Submissions Publishing; Registrations isn't listed on the Basics page. It is standardized and configured by Veeva rather than tailored to each customer, and Veeva says customers can later "graduate to full Vault, no migration required"[5]. Kivo's base package includes document management, Training, and one module, with e-signature, validation, training, and support included in the subscription[15]. Ask both vendors for a written quote covering the same scope and the same three-year term.

7. Which Should You Choose?

Choose Veeva RIM if in-house publishing, full registrations management, and a broad Veeva application estate are requirements today and you can staff the connections between Vaults. Choose Kivo if you want RIM, eTMF, and QMS on one configurable document core with published pricing and vendor-supplied validation evidence, and you're comfortable using a publishing partner.

The decision usually tracks company stage. Emerging biopharma companies, defined by IQVIA as those with under $200 million in R&D spending and under $500 million in annual sales, produced two-thirds of new drugs in 2022[46]. Many of those teams run lean regulatory functions and outsource publishing. At the other end, FDA's CDER approved 46 novel drugs in 2025[47], more than half for rare disease indications[48], and companies that reach approval take on registration maintenance that a pre-approval team doesn't yet have.

Whichever way you lean, plan the rollout before you sign. Our step-by-step guide on how to implement a RIM system covers scoping, migration, and validation, and our guide to choosing a RIM system for an early-stage biotech pipeline goes deeper on the pre-approval decision.

8. How Kivo Supports Clinical-Stage Regulatory Teams

Kivo's RIM module is built for the regulatory team that has outgrown spreadsheets but doesn't need, or want to staff, an enterprise suite. Submissions are assembled from pre-built structures in Kivo's regulatory submission software, linked directly to source documents in the same system, and exported with change tracking to whichever publishing partner you use. Submitted eCTDs come back into Kivo's eCTD viewer, linked to the documents that produced them.

Correspondence and commitment tracking captures agency email, call logs, and scanned letters, associates each item with the right project and submission, and updates project status as expected correspondence arrives. Because RIM shares a document core with Kivo's eTMF and QMS modules, a team can add clinical or quality later without a migration or an integration project.

Every subscription includes Kivo's native, Part 11-compliant e-signature, continuous CSA-aligned validation, training, and support from regulatory and product specialists. Setup takes weeks, and data moves in and out freely. See current packaging on the Kivo pricing page.

Frequently Asked Questions

Is Veeva Vault RIM the same as Veeva RIM?

Yes. Veeva's current product pages and press releases use the name Veeva RIM for the suite made up of Veeva Registrations, Veeva Submissions, Veeva Submissions Publishing, and Veeva Submissions Archive. The applications run on the Veeva Vault Platform, and many buyers still search using the older "Vault RIM" name, so both names refer to the same product family.

Does Kivo do eCTD publishing?

No, by design. Kivo prepares submission-ready packages with automatic change tracking and exports them to your internal or external publishing group, so you aren't tied to one publishing vendor. Submitted eCTDs can be viewed in Kivo's eCTD viewer, which links back to the source documents in Kivo, so the published submission stays connected to the content that produced it.

Does Veeva offer a RIM option for small or emerging biotechs?

Yes. Veeva Basics offers standardized Submissions, Submissions Archive, and Submissions Publishing applications for emerging biotechs. Veeva pre-configures and validates them, so customers choose setup options rather than configuring the system. Veeva says customers can later "graduate to full Vault, no migration required." Registrations isn't listed, and we found no published pricing.

Which platform supports eCTD 4.0?

Veeva's help documentation reviewed in October 2026 lists US and Japan eCTD 4.0 publishing, with EU under eCTD 3.x. Kivo doesn't publish submissions, so 4.0 output depends on your publishing partner; 4.0 viewing in Kivo is planned. Mandatory dates are 2029 for FDA and Q1 2028 for new EU centralised applications.

How long does it take to implement Kivo vs. Veeva RIM?

Kivo describes implementation in weeks, through a five-step process covering configuration, migration, validation evidence, walkthrough, and training. For Veeva, we found a fast-start timeline only for Veeva Basics, described as ready to use on day one with a guided 30–60 days to prepare first business users. We found no published timeline for the full RIM suite.
